Background

The Marlow Club is the premier health and fitness club in Buckinghamshire and the south of the UK, with over 3,000 active members.

The company prides itself on providing the highest levels of service and offering a vast range of equipment, facilities and products to keep members motivated every time they visit. In May 2016, they became double Guinness World Record holders with their sister brand and charity, Rave and Ride.

The challenge

Studio coordinator Steven Smith spoke with us about the difficulties he and his team had been facing prior to making the switch to RotaCloud.

“Prior to using RotaCloud, instructors were managed manually. Our biggest challenge was when we needed to find (often last-minute) cover and instructors had to be telephoned to see if they were available,” Steven told us.

“This was incredibly time-consuming for management and reception as it could take 16 calls until I found someone to provide cover. Also, there was a belief that some instructors were favoured over others.”

The solution

Thanks to RotaCloud’s Open Shifts function, Steven is now able to operate a completely fair and unbiased system when it comes to offering staff extra shifts.

“With RotaCloud we have total transparency; first come, first served,” Steven said.

“In addition, we only have to move someone looking for cover into an open shift state and all instructors are notified. This saves us a huge amount of time and is incredibly efficient.”

“The desktop interface is intuitive and the mobile applications make the rotas accessible to everyone regardless of where they are,” he continued.

“Initial setup was also really simple and a constant upgrade cycle is being demonstrated with weekly or monthly updates being announced within the software.”
